Adding Photos and Documents to Jobs

Keep a complete visual and documentary record of every job — from before works begin through to completion. Photos and documents live inside the job record, making it easy to protect yourself, impress customers, and stay compliant.

Adding photos on mobile

The Trade2Base mobile app makes it quick to capture photos on-site without switching between apps.

  1. Open the job from your schedule or job list and tap the Photos & Docs tab.
  2. Tap Take Photo to open your camera and capture the image directly.
  3. Alternatively, tap Upload from Gallery to choose one or more existing photos from your phone.
  4. Photos upload immediately over Wi-Fi or mobile data and are instantly visible to anyone with access to the job.

Adding photos on desktop

When you're back in the office, you can add photos taken on a camera or downloaded from another device.

  1. Open the job in Trade2Base and click the Photos & Docs tab.
  2. Drag and drop files directly onto the upload area, or click Browse files to select them from your computer.
  3. You can upload multiple files at once — Trade2Base will process them in the background.

Organising photos by stage

Trade2Base lets you label each photo with a stage so you can quickly find before, during, and after shots.

  1. After uploading, tap or click the photo and select a stage label: Before, During, or After.
  2. You can also add a short caption to describe what the photo shows — useful for insurance or dispute resolution.
  3. Use the filter buttons above the photo grid to view only before shots, only after shots, or all photos at once.

Attaching PDFs and documents

Gas certificates, EICR reports, risk assessments, and method statements can all be attached directly to a job.

  1. In the Photos & Docs tab, click Add Document and select your PDF or other file.
  2. Give the document a descriptive name (e.g. “CP12 Gas Safety Certificate”) so it's easy to identify later.
  3. Documents appear in a separate Documents section below the photo grid and are stored indefinitely with the job record.

Sharing photos and documents with customers

You can choose which files the customer sees in their portal — not every internal photo needs to be shared.

  1. On any photo or document, toggle the Visible to customer switch to on.
  2. The customer will see those files the next time they log into their portal — no email required.
  3. You can also click Send to customer to notify them by email that new files are available to view.

Supported file types and storage limits

Trade2Base supports the most common file types used on trade jobs.

  • Images: JPG, PNG, HEIC, WEBP — up to 20 MB per file.
  • Documents: PDF, DOCX, XLSX — up to 50 MB per file.
  • Storage: 10 GB included on all plans. Additional storage is available at £5/month per 10 GB.
  • You can check your current storage usage under Settings → Account → Storage.
