Exporting Your Data from Trade2Base

Trade2Base gives you full access to your business data in portable formats. Whether you need a jobs report for your accountant, a customer list for a mail campaign, or a GDPR data subject access request, you can export exactly what you need from within the platform.

Exporting jobs

Go to Jobs and click Export in the top right. Set your filters before exporting:

  • Date range — filter by job date or completion date
  • Status — export only completed jobs, or all statuses
  • Assigned engineer — filter to a specific team member
  • Job type — export by service type (e.g. boiler service, installation)

The export downloads as a CSV file containing job reference, customer name, address, job type, assigned engineer, scheduled date, completion date, status, and total value.

Exporting your customer list

Go to Customers and click Export. The customer CSV includes all stored fields:

  • Full name, email, phone number
  • Address and postcode
  • Tags and customer type (residential / commercial)
  • Total jobs completed, total revenue, and date of last job
  • Marketing consent status (opted in / opted out)

Filter the export by tag, postcode area, or date added before downloading to target your export to a specific segment.

Exporting invoices

Go to Invoices and click Export. You have two format options:

  • CSV — a spreadsheet-friendly file with invoice number, customer, issue date, due date, status (paid / unpaid / overdue), subtotal, VAT, and total. Ideal for your accountant or bookkeeper
  • PDF batch — downloads a ZIP file containing individual PDF invoices for each result in your filter. Useful for providing invoice copies to a client or for your own records

Apply date range and status filters before exporting to keep file sizes manageable.

Exporting financial reports

Go to Reports to access exportable financial summaries. Each report has a Download CSV button:

  • Revenue by period — total invoiced and collected revenue broken down by week, month, or quarter
  • Revenue by engineer — jobs completed and revenue generated per team member, useful for commission calculations
  • Revenue by job type — breakdown of revenue by service category so you can see which types of work are most profitable
  • Expenses report — all logged expenses in a date range, categorised by type

Exporting campaign attribution data

Go to Marketing → Attribution → Export. This report shows which marketing campaigns and channels drove jobs and revenue. The export includes:

  • Campaign name and channel (Google Ads, Meta, Checkatrade, etc.)
  • Number of leads attributed
  • Jobs booked and revenue generated per campaign
  • Cost per lead and return on ad spend (where spend data has been entered)

GDPR data export for individual customers

If a customer submits a Subject Access Request (SAR) under UK GDPR, you can export all data held about them. Open the customer record, click the menu, and select Export personal data.

The export is a ZIP file containing:

  • Customer profile CSV (all stored personal data)
  • All jobs associated with the customer
  • All invoices and quotes as PDFs
  • Message history (SMS, email, WhatsApp) where stored

You are legally required to respond to a SAR within 30 days under UK GDPR.

What is NOT included in exports

The following data is not available in self-service exports:

  • Full audit logs — detailed change history (who changed what and when) is retained internally for security purposes but is not included in standard data exports. Contact support if you need audit log data for a legal matter
  • Internal notes with privacy flags — any job note or customer note marked as Internal only by your team is excluded from customer-facing GDPR exports by design

Export limits and file sizes

Standard exports are capped at 10,000 rows per CSV file. If your data exceeds this, apply tighter date or filter criteria and export in batches. PDF batch exports are capped at 500 invoices per ZIP file.

Exports are generated in the background for large datasets — you'll receive an email with a download link when the file is ready. Download links expire after 48 hours for security.
