Creating Job Checklists and Sign-off Sheets
Checklists help your engineers work consistently and give customers confidence that every step was completed properly. You can build reusable templates, attach them to specific job types, and collect a digital sign-off on completion.
Creating a checklist template
Templates are reusable — build them once and attach them to as many job types as you like.
- Go to Settings → Checklist Templates and click New Template.
- Give the template a name (e.g. “Boiler Service Checklist” or “EICR Pre-inspection”).
- Add checklist items using the + Add item button. Each item can be a checkbox, a text field, a number field, or a pass/fail selector.
- Drag items to reorder them. Group related items under section headings for easier reading on mobile.
- Click Save Template when you're done.
Attaching a checklist to a job type
You can set a default checklist for each job type so it's always added automatically when a new job of that type is created.
- Go to Settings → Job Types and click on the job type you want to configure.
- Under the Default Checklist section, select the template you created from the dropdown.
- Save the job type. From now on, every new job of this type will have the checklist pre-attached and ready for the engineer.
- You can also manually attach any checklist to an individual job by opening the job and selecting Add Checklist from the options menu.
Engineers completing checklists on mobile
The checklist appears automatically in the engineer's mobile app when they open an assigned job.
- Open the job and tap the Checklist tab to see all items.
- Tap each item to mark it complete, enter a value, or select pass/fail — responses are saved automatically.
- If an item fails, the engineer can add a note and attach a photo directly from the checklist screen.
- Progress syncs to the job record in real time, so back-office staff can monitor completion without calling the engineer.
Requiring checklist completion before marking a job done
You can enforce checklist completion as a mandatory step, preventing jobs from being closed prematurely.
- Go to Settings → Job Settings and enable Require checklist completion before completion.
- When this is on, the Mark as Done button will be greyed out until all required checklist items are ticked.
- You can mark individual checklist items as optional so they don't block completion — useful for “nice to have” checks.
Customer digital sign-off
Collecting a customer's signature on the completed checklist gives you a clear record that they approved the work.
- Once the checklist is complete, tap Request Sign-off on the mobile app.
- Hand the phone to the customer — they can review the completed items and sign with their finger.
- The signed checklist is stored against the job record and can be emailed to the customer or downloaded as a PDF.
Viewing completed checklists in job history
Every completed checklist is stored permanently and is easy to retrieve later.
- Open any completed job and click the Checklist tab to see the full response history, including who completed each item and when.
- Click Download PDF to export the checklist for your records or to send to a landlord, insurer, or inspector.
- If a customer raises a dispute, the signed checklist is your evidence that the work was completed as agreed.
