Customising Your Quote and Invoice PDFs
Every quote and invoice Trade2Base generates is a professional-looking PDF sent to your customer. This guide walks you through adding your logo, bank details, colour scheme, and footer text so the documents look exactly like your brand — and so customers know exactly how to pay you.
Open PDF settings
Go to Settings → Branding → PDF. This page controls the appearance of both quote and invoice PDFs. Changes apply to all documents generated after you save — existing PDFs that have already been sent are not affected.
Add your company logo
Click Upload logo and choose a PNG or SVG file. Your logo appears in the top-left corner of every PDF, opposite the document title (“Quote” or “Invoice”).
- Recommended size: 400 × 120 px for a clean fit without pixellation
- Use a version of your logo with a transparent background (PNG)
- SVG logos remain sharp when printed at any size
Company address and contact details
Your company name, address, phone number, and email are automatically pulled from your Business Profile and printed on every PDF. If these details look wrong, update them in Settings → Business Profile — the change will flow through to all future PDFs automatically.
Your VAT registration number (if applicable) is shown beneath your address. Add or edit it in Settings → Business Profile → Tax.
Bank details for BACS payment
Under Bank details, enter your account name, sort code, and account number. These appear in a highlighted block on invoice PDFs, making it easy for customers to pay by BACS transfer. Bank details are not shown on quotes.
If you also accept payment via Stripe, a secure payment link is automatically added to the invoice email — no manual configuration needed.
Colour scheme and header
Use the Header colour picker to set the colour of the document header bar. Enter your brand hex code (e.g. #1D4ED8) to match your website and other branded materials.
Text in the header (document title, document number, date) automatically switches between white and dark depending on your chosen colour for legibility.
Line item display options
Choose how much detail to show customers in the line items table:
Show cost prices
Show your buy-price alongside the sell-price on quotes — useful for transparent cost-plus contracts. Off by default.
Show subtotals
Show subtotal per section on quotes and invoices. Disable to show a total-only view — cleaner for simple one-line jobs.
Show quantity and unit rate
Display qty × rate = amount columns. Disable to show a single amount column only.
Custom footer text
The Footer field appears at the bottom of every page of the PDF. Use it for a snippet of your payment terms, your company registration number, or a thank-you message — for example:
Attach a terms and conditions PDF
Under Terms attachment, upload a PDF of your full terms and conditions. This PDF is automatically attached alongside every quote you send — customers receive the quote PDF and your T&Cs as a single email attachment bundle.
- Keep your T&Cs PDF under 2 MB for fast email delivery
- Update the attachment here whenever your terms change — no need to edit individual quotes
- The T&Cs attachment is not added to invoices, only quotes
Preview and download a sample PDF
Before saving, click Preview sample quote or Preview sample invoice to see exactly how your settings look on a realistic document with dummy data. Click Download sample to save it as a PDF and check it on your phone or share it with a colleague for review.
Once you're happy, click Save settings. All future documents will use your new branding immediately.
Tip: keep cost prices hidden from customers
By default, Show cost prices is turned off — customers see your sell prices only. Only enable this option if you work on transparent cost-plus contracts where customers have a right to see your margins.
