Syncing invoices to Xero automatically

Connect Trade2Base to Xero so every invoice and payment syncs automatically, keeping your accounts up to date without manual data entry.

How to set up Xero invoice sync

  1. 1Go to Settings > Integrations and click “Connect Xero” — you will be redirected to Xero to authorise the connection
  2. 2Select the Xero organisation to connect to Trade2Base (if you have multiple) and confirm the permissions
  3. 3In Trade2Base, go to Settings > Xero Sync and map your Trade2Base invoice categories to Xero account codes
  4. 4From now on, every invoice marked as Sent in Trade2Base is automatically created as a draft invoice in Xero. Payments marked as paid in Trade2Base update the Xero invoice status automatically
  5. 5Use the Sync Log in Settings > Xero Sync to monitor sync activity and resolve any errors
VAT handling

If your business is VAT-registered, map your VAT rates in Trade2Base to the correct Xero tax rates before syncing. Mismatched VAT codes will create reconciliation issues in your Xero VAT returns.

Frequently asked questions

Does Trade2Base sync quotes to Xero as well?

No, the Xero sync is for invoices only. Quotes remain in Trade2Base until they are converted to invoices, at which point they will sync to Xero once marked as Sent.

What happens if I edit an invoice after it has synced?

If you edit an invoice in Trade2Base after it has synced, Trade2Base will push the updated version to Xero automatically. If the Xero invoice has already been approved, you may need to void and re-create it in Xero manually.

Can I sync historical invoices?

Yes. In Settings > Xero Sync, use the “Sync historical invoices” option to push invoices from a chosen date range. Review the sync log carefully to avoid duplicates if you have previously entered invoices in Xero manually.

Does the sync work for credit notes?

Yes. Credit notes created in Trade2Base are synced to Xero as credit notes and automatically allocated against the original invoice when applicable.
