Generating a VAT and tax report

Trade2Base can generate a VAT summary report for any date range, showing VAT collected and reclaimable. This makes your quarterly VAT return straightforward and provides data your accountant can import directly into Xero or QuickBooks.

How to generate a VAT and tax report

Go to Reports > Tax & VAT

In the main navigation, open Reports and select Tax & VAT from the left-hand menu.

Set your report date range

Choose a start date and end date. For a standard VAT return, set these to your VAT quarter dates. You can also run ad-hoc reports for any custom period.

Choose to include or exclude draft invoices

Toggle the Include drafts option. By default, only sent and paid invoices are included. Enable drafts if you want to see projected VAT for invoices not yet dispatched.

Download the report as CSV or PDF

Click Download and choose your preferred format. The report shows total invoiced, VAT collected, zero-rated items, and net revenue, broken down by tax rate.

Share with your accountant or import into Xero

Send the CSV directly to your accountant, or use the Xero integration to pre-populate your VAT return. Go to Settings > Integrations > Xero to connect your account.

Frequently asked questions

Does this work for flat-rate VAT schemes?

Yes. Go to Settings > Tax to set your flat-rate percentage. When flat-rate mode is enabled, the VAT report shows the flat-rate VAT payable alongside the standard VAT collected, so you can compare and use whichever your scheme requires.

Can I filter by engineer or job type?

Yes. Use the filter options in the report to narrow the data by engineer, job category, or customer. This is useful if you want to see VAT broken down by part of the business.

Does the report include credit notes?

Yes. Credit notes are included as negative VAT adjustments in the report, reducing the total VAT collected figure. They are listed separately in the breakdown so your accountant can see them clearly.

Can I set my VAT quarter dates?

Yes. Go to Settings > Tax > VAT quarters and set your quarter start month. Trade2Base will then offer your quarters as date presets when generating the report, so you do not need to enter dates manually each time.
