Building a quote line item library

Save your most-used services and materials as reusable line items so you can build accurate quotes in minutes, not hours.

How to build your line item library

  1. 1Go to Settings > Line Items in the Trade2Base dashboard to open your line item library.
  2. 2Click “Add line item” and enter the item name, default description, unit price, VAT rate and unit of measure (e.g. each, m², hour, day).
  3. 3Group related items using categories (e.g. Labour, Materials, Call-out charges) to keep the library organised as it grows.
  4. 4When creating a quote, click “Add from library” and search or browse your saved items — they populate the quote line with your default price and description, which you can override for this quote.
  5. 5Update library prices periodically as material costs change — go to Settings > Line Items, filter by category and update prices in bulk.

Frequently asked questions

Can I import line items from a spreadsheet?

Yes. Go to Settings > Line Items > Import and download the CSV template. Fill in your items and upload the file — Trade2Base will validate and import them in bulk.

Can different engineers have different default prices?

Library prices are shared across the business. If you need engineer-specific rates, use the Team > Rates feature to set labour rates per engineer, which are applied automatically when their time is logged to a job.

Can I set minimum and maximum prices on line items?

You can set a minimum price per line item to prevent quotes being sent below cost. When a quote line is edited below the minimum, Trade2Base highlights it as a warning before you send.

Do line item prices include or exclude VAT?

All prices in the library are stored exclusive of VAT. When you add an item to a quote, the VAT rate you set on that item is applied and shown separately on the quote and invoice.
