Creating a reusable price list
A price list stores your standard labour and materials prices so you can add them to quotes and invoices in one click — no need to type prices from scratch every time. Price lists are especially useful for standard boiler services, callout fees, common electrical work, and routine maintenance tasks.
How to create a price list
Open Settings in the main navigation and click Price List from the left-hand menu.
Click Add item and enter the item name, a short description, and the price excluding VAT.
Choose the item category: Labour, Materials, or Other. Toggle whether VAT applies to this item. VAT will be calculated automatically when the item is added to a quote or invoice.
Repeat for each standard item you want to store. There is no limit on the number of items in your price list.
When creating a quote or invoice, click Add from price list to browse and insert any item at its stored price. You can override the price on any individual line without affecting the stored price list.
Price list items are shared across your whole account. All team members can see and use them when quoting.
Frequently asked questions
The global price list applies to all customers. For customer-specific pricing, you can override the price on any quote or invoice line without changing the stored price list. Customer-specific price lists are on the product roadmap.
No. Updating a price list item changes the stored price for future use only. Existing quotes and invoices that already used the item retain the price that was set at the time they were created.
Yes. Go to Settings > Price List and click Import. Download the CSV template, fill in your items, and upload the file. Trade2Base will add all items in the spreadsheet to your price list in one step.
You can control whether engineers can see prices when quoting via Settings > Roles > [Role name] > Permissions. Disable the "View pricing" permission to hide prices from engineers while still allowing them to add items to quotes.
