Customer Portal Customisation
Make the Trade2Base customer portal look and feel like your own brand — add your logo, choose your colours, write your own welcome message, and share the link with every customer.
What the customer portal is
The customer portal is a self-serve web page where your customers can view and approve quotes, track job progress, see upcoming appointments, pay invoices, and leave reviews — all without needing to call your office. Each customer gets a unique link sent to them automatically when a quote or job is created. The portal is fully mobile-friendly and requires no login or password; the unique link acts as secure access. From your perspective it is a white-label extension of your business — customers see your brand, not Trade2Base.
Uploading your company logo
- 1Go to Settings > Customer Portal > Branding.
- 2Click Upload logo and select your logo file. Supported formats are PNG, SVG, and JPG. For best results use a PNG with a transparent background at least 400px wide.
- 3Use the crop and resize tool to position your logo within the upload area, then click Save logo. Your logo appears in the portal header and on all portal notification emails immediately.
Setting brand colours for the portal header
The portal header colour defaults to Trade2Base blue. Replace it with your brand colour to create a fully on-brand experience:
- 1In Settings > Customer Portal > Branding, click the Header colour swatch.
- 2Enter your hex colour code or pick a colour from the palette. The live preview on the right updates as you type.
- 3You can also set an Accent colour used for buttons and links throughout the portal. Click Save colours when done.
Customising the welcome message and footer text
The welcome message appears at the top of the portal homepage when a customer first opens their link. Use it to introduce your business, set expectations, or thank the customer for their custom.
Go to Settings > Customer Portal > Content to edit:
Adding your terms and conditions
You can attach your terms and conditions to the portal so customers can read them before approving a quote. Go to Settings > Customer Portal > Terms & Conditions and paste your terms into the text editor, or upload a PDF. When a customer approves a quote in the portal they will be prompted to confirm they have read and agreed to your terms. Their acceptance is timestamped and logged in the job record as evidence of agreement.
Custom email sender name and reply-to address
Portal notification emails (quote sent, appointment confirmed, invoice ready, and so on) are sent from Trade2Base's servers but can be made to look like they come from your business:
- Sender name: set this to your business name so emails show 'From: Smith Plumbing' in the customer's inbox rather than 'From: Trade2Base'.
- Reply-to address: set this to your business email address so that when a customer replies to a portal notification it lands in your inbox, not Trade2Base's.
- Custom email domain: on the Pro plan you can send portal emails from your own domain entirely — for example, no-reply@smithplumbing.co.uk. See the custom email domain help article for setup steps.
Configure these in Settings > Customer Portal > Email Settings.
Testing the portal as a customer
Before sharing the portal with real customers, preview how it looks from their perspective:
- 1Go to Settings > Customer Portal > Branding and click Preview portal.
- 2A demo portal opens in a new tab showing your branding, welcome message, and a sample quote and invoice. No real customer data is used.
- 3You can also send yourself a real portal link by opening any job, clicking Share portal, and entering your own email or phone number.
Sharing the portal link with customers
Each customer's portal link is unique to them and is included automatically in quote, booking, and invoice notifications. You can also share it manually:
- Open the customer record or any of their jobs and click Share portal link.
- Choose whether to send by SMS, WhatsApp, or email, and click Send. The customer receives a message with their personal portal link.
- The link does not expire and gives the customer access to all their past and current jobs, quotes, and invoices with your business.
- You can revoke a customer's portal access at any time from their customer record if needed.
