Job Notes and Photos
Add text notes and photos to any job in Trade2Base — from the office or from the field on mobile. Notes and photos keep your team aligned, protect you if a dispute arises, and give your quotes and invoices a professional finish.
Adding text notes to a job
Trade2Base has two types of text note on every job:
Visible only to you and your team. Use these for access instructions, parking information, engineer briefing notes, hazard warnings, or anything you would not want a customer to read. Click Add internal note inside the job record.
Included on invoices, quotes, and the customer portal. Use these for work descriptions, recommendations, or warranty information you want the customer to see. Click Add customer note inside the job record.
Uploading photos from mobile
- 1Open the job in the Trade2Base mobile app or in a mobile browser. Tap the Photos tab on the job record.
- 2Tap Add photo and choose to take a new photo with your camera or select one from your photo library.
- 3Add an optional caption to label the photo (e.g. “Boiler before” or “Damage found under sink”). Tap Upload to save.
- 4Photos upload immediately if you have signal. If you are offline they are queued and upload automatically when you reconnect.
How engineers add notes and photos from the field app
Engineers with access to the Trade2Base field app can add notes and photos directly from the job site. Their additions sync instantly to the office view — no phone calls or messages required.
Engineers can add internal notes (e.g. “Customer not home — left card”) and photos at any point during the job. Office staff see these in real time in the job record. To control what engineers can see and add, go to Settings > Team > Permissions.
Organising photos by job stage
When uploading a photo you can assign it to a job stage to keep things organised:
Sorting photos into stages makes it easy to pull together before-and-after evidence for a quote follow-up or to demonstrate the quality of completed work on an invoice.
Using notes for job handover between engineers
When a job passes from one engineer to another — for example a first fix and a second fix — internal notes are the fastest way to hand over. The first engineer notes what was done and what is outstanding. The second engineer reads the notes before arrival so they arrive prepared. This avoids phone calls between engineers and reduces the risk of rework.
Attaching photos to invoices and quotes
- 1Open the quote or invoice from the job record.
- 2Click Attach photos and select the photos from the job that you want to include. You can include up to 10 photos per quote or invoice.
- 3Photos appear in the PDF and on the customer portal view. Before photos on a quote help justify your price; after photos on an invoice demonstrate the quality of work.
All photos and notes are stored securely in Trade2Base and remain attached to the job record permanently. You can retrieve photos from any job at any time by opening the job and clicking the Photos tab. Photos can be downloaded individually or as a ZIP file from the job record.
