Using the AI Reply Assistant

The AI reply assistant reads a customer's message and drafts a professional response for you. It saves you time on routine replies — booking confirmations, quote follow-ups, rescheduling requests — without replacing your judgment. You always review and send.

How to use the AI reply assistant

Open a message thread

Go to Messages in the sidebar and click on any thread. Open threads with a customer message you need to respond to.

Click "AI Suggest Reply"

Below the reply box, click the "AI Suggest Reply" button. The assistant reads the conversation history and the customer's latest message, then generates a draft reply.

Review the draft

The suggested reply appears in the reply box. Read it carefully. Check that the tone is right for this customer, the facts are accurate, and any prices or dates mentioned are correct.

Edit before sending

Click into the reply box and edit the draft as needed. You might want to personalise it, add a specific date, or adjust the wording. The AI gives you a starting point — you make it yours.

Send

Click "Send" when you are happy with the message. The reply is delivered to the customer via the same channel they used.

Getting better suggestions

The AI reply assistant uses the full conversation history and your business profile to generate replies. The more context it has, the better the draft will be.

Fill in your business profile

Go to Settings → Business profile and fill in your trading name, the services you offer, and your usual working hours. The AI uses this to write replies that sound like your business rather than something generic.

More context = better replies

If the thread has a job linked to it, the AI can reference the job details — date, engineer, address — in the reply. Link threads to jobs wherever possible for the most relevant suggestions.

Always review before sending

Important: AI replies need your review

The AI assistant is designed to save you time, not to send messages without your knowledge. It can occasionally make mistakes — getting a date wrong, suggesting a price that doesn't match your quote, or missing the tone of a sensitive situation. Always read the draft and make corrections before hitting Send. You are responsible for every message sent from your account.

When the AI reply works best

Booking confirmations

“Thanks for booking — we'll see you on Thursday at 9 am.” The AI handles these quickly and consistently.

Quote follow-ups

Chasing an outstanding quote politely without sounding pushy is something the AI does well.

Rescheduling requests

Offering alternative slots and apologising for any inconvenience — the AI keeps the tone professional.

Use your own words for complaints

For sensitive situations — complaints, disputes, or emotionally charged messages — write your own reply. AI drafts can feel impersonal and may not reflect the care and attention the situation needs.

AI usage limits

AI reply suggestions count towards your monthly AI usage allowance. The number of suggestions included each month depends on your plan. You can check your remaining usage in Settings → Plan & usage. If you reach your limit, you can upgrade your plan or purchase additional AI credits.

Usage tip

Use AI suggestions for the replies that benefit most from a polished draft — not every single message. A one-line “On my way!” reply is quicker to type yourself than to generate with AI.
