Sending Your First Quote

Trade2Base quotes are itemised, professional documents that your customer can view and digitally sign online — no printing required. Once signed, you can convert to an invoice in a single click.

Two ways to create a quote

From a job

Open the job, click New Quote. The customer and job address pre-fill automatically.

Standalone

Go to Quotes in the left nav, click New Quote. You select the customer manually.

Building and sending the quote

Select the customer

Search by name or postcode. If you started from a job, the customer is already selected.

Add line items

Click Add line item. Enter a description (e.g. "Supply and fit boiler"), quantity, and unit price. Trade2Base calculates the line total automatically.

Toggle VAT per line

Each line item has a VAT toggle. Turn it on for items you charge VAT on. VAT is calculated at 20% and shown as a separate line in the quote total.

Set payment terms

Choose from your default terms or override them for this quote (e.g. 50% deposit, balance on completion).

Add notes or terms

The notes field is shown on the quote. Use it for job-specific conditions, access requirements, or your standard terms and conditions.

Preview the quote

Click Preview to see exactly what the customer will see. Check the totals, VAT, and your business details in the header.

Send via email or WhatsApp

Click Send, then choose Email or WhatsApp. The customer receives a link to a hosted version of the quote where they can read and digitally sign it.

Tip: save as a template

After building your first quote, click “Save as template” before sending. Next time you price a similar job, load the template and the line items pre-fill instantly — you just update the quantities and prices.

When the customer signs

You receive an in-app notification and an email the moment a customer digitally signs a quote. From the quote page, click “Convert to Invoice” — all line items carry over and the invoice is ready to send.
