Creating and Editing Quote Templates
Templates are reusable sets of line items you can drop into any new quote instantly. Build one for each type of job you do regularly — boiler services, full rewires, bathroom fits — and you'll cut quoting time to under a minute.
Finding the Templates section
In the left-hand sidebar, click Templates (under the Quotes heading). You'll see all your saved templates as cards. A fresh account starts with a few example templates to get you going.
Creating a new template
Hit the blue "New Template" button in the top-right corner. The template editor opens.
Choose a clear, descriptive name such as "Annual boiler service" or "Full bathroom fit — standard". This is what you'll see in the template library when creating a quote.
Click "Add line item" to add each charge. For every line item, enter a description, quantity, unit, and unit price. Common types include: Labour (hourly rate × hours), Materials (parts at cost or marked up), Call-out fee (fixed charge for attending site).
Use the Type dropdown on each line to categorise it as Labour, Materials, or Other. This helps with reporting and VAT handling.
You can add a default note that will appear at the bottom of quotes created from this template — for example, your standard terms or a warranty statement.
Click "Save template". It is now available instantly whenever you create a quote from a template.
Editing an existing template
To update a template — for example, if your labour rate has changed — open the Templates section, click the three-dot menu on the template card, and select Edit. Make your changes and click Save template. The updated prices will apply to all new quotes using this template from that point forward. Quotes already sent are not affected.
Duplicating a template for variations
Need a template for a job that is similar but not identical to an existing one? Click the three-dot menu and select Duplicate. A copy is created with the same line items. Rename it and adjust the details for the variation without having to start from scratch.
Duplicate your “Annual boiler service” template, rename the copy to “Annual boiler service — combi+”, and add the extra line items for a combination boiler with a system flush. Now you have both templates in seconds.
Deleting a template
Click the three-dot menu on any template card and select Delete. You'll be asked to confirm. Deleting a template does not affect any quotes already created from it — those remain intact.
If you're not sure you'll need a template again, use Archive rather than Delete. Archived templates are hidden from the library but can be restored at any time from the archive view.
