Sending Quotes via WhatsApp

Trade2Base lets you send quotes directly to a customer's WhatsApp. The customer receives a secure link, views the quote in the customer portal, and can approve it in one tap — no account needed.

How to send a quote via WhatsApp

1
Open a quote in Draft or Ready to Send status → click "Send quote"

Open the quote from the Quotes section. Click the "Send quote" button in the top-right corner of the quote editor.

2
Select "WhatsApp" as the delivery method

In the send dialog, choose WhatsApp from the delivery method options. Confirm the customer's mobile number — Trade2Base pre-fills it from their contact record.

3
The customer receives a WhatsApp message with a secure link

The message includes your business name, the quote total, and a link to view the full quote in the customer portal. The customer can read line items, attached photos, and terms before approving.

4
You can see when the customer opens the quote

A "Viewed" timestamp appears on the quote record as soon as the customer opens the link. Use this to time follow-up calls — reach out shortly after they view it while it's still fresh.

5
When the customer approves, you get an instant WhatsApp notification

As soon as the customer taps "Approve quote", you receive a WhatsApp notification. The quote status updates to Approved and a job is created automatically if you have that setting enabled.

Why WhatsApp? WhatsApp quote delivery has a 98% open rate versus around 30% for email. Use it for higher-value jobs where you want to maximise quote acceptance.
