How automations work in Trade2Base
Automations let Trade2Base handle repetitive tasks on your behalf — sending review requests, chasing overdue invoices, following up on quotes — so you can focus on the job, not the admin.
The trigger → condition → action model
Every automation in Trade2Base follows the same three-part pattern. Once you understand it, you can build almost any workflow you need.
Something that happens in Trade2Base — a job completes, an invoice becomes overdue, a quote is sent.
An optional filter that must be true for the automation to fire. For example: job type = Boiler Service, or invoice value > £500.
What Trade2Base does automatically — sends a WhatsApp, fires off an email, or pushes an SMS to the customer.
You can also add a delay between the trigger and the action — useful when you want to wait 24 hours before sending a review request, rather than messaging a customer the moment a job closes.
The 4 built-in automation types
Trade2Base ships with four pre-configured automations ready to switch on. You can use them as-is or customise the message, delay, and conditions to suit your business.
Fires when a job status changes to Complete. Sends a WhatsApp (or email) with a link to your Google review page. Default delay: 24 hours after completion.
Fires when an invoice passes its payment due date. Sends a polite payment reminder. A second follow-up can be scheduled 7 days later.
Fires 48 hours after a quote is sent with no response. Sends a helpful nudge asking if the customer has any questions. Stops automatically when the quote is accepted.
Fires when a job status changes to Booked. Sends the customer a confirmation with the scheduled date and time, giving them confidence the job is in the diary.
Enabling and disabling automations
Click "Automations" in the left-hand sidebar. You'll see all available automations listed with their current status.
Each automation has an on/off toggle. Click it to enable or disable. Changes take effect immediately — no save button needed.
Click "Edit" on any automation to customise the message template, delay, and conditions before switching it on.
Viewing automation logs
Every time an automation fires, Trade2Base records it in the Automation Log. This lets you confirm messages were sent and troubleshoot any issues.
Head to Automations → Activity Log. Each entry shows the automation name, the customer it fired for, the timestamp, and the delivery status (sent, failed, or pending).
If a message shows as Failed, check that the customer has a valid phone number or email address saved on their record. WhatsApp messages also require the customer's number to be registered on WhatsApp.
