Sending Bulk Messages (Email Broadcast)
Email Broadcast lets you send one message to hundreds of customers at once — annual service reminders, seasonal offers, or important updates. This guide walks through every step from audience selection to reviewing your results.
Getting to Email Broadcast
Go to Campaigns in the left-hand sidebar, then select Email Broadcast from the sub-menu. Click New broadcast to start a new send.
Email Broadcast is available on the Growth plan and above. If you don't see it in the menu, upgrade from Settings → Billing.
Selecting your audience
Trade2Base gives you three audience options. Choose the one that matches your goal:
Sends to every customer with a valid email address in your account. Best for company-wide announcements.
Filter by one or more customer tags (e.g. "Boiler service" or "Commercial"). Ideal for targeted reminders.
Target customers whose most recent job falls within a date window — e.g. last serviced 11-13 months ago. Perfect for annual service re-engagement.
The recipient count updates live as you apply filters so you always know how many people will receive the broadcast before you send it.
Writing subject and body
Keep it under 60 characters so it doesn't get cut off in email clients. Personalise with {{customer_name}} to boost open rates.
Use the rich text editor to format your message. You can bold key text, add bullet points, and insert a call-to-action button linking to your portal or website.
Click "Preview" to see exactly how the email looks on desktop and mobile. Trade2Base fills in a sample customer name so you can check placeholders resolve correctly.
Click "Send test" and enter your own email address. Check it in your inbox before going live.
Scheduled vs immediate send
On the final step you choose when to send:
The broadcast goes out within minutes. Good for time-sensitive messages.
Pick a date and time. Trade2Base queues the broadcast and sends it automatically. You can edit or cancel a scheduled broadcast up until 30 minutes before the send time.
Tuesday and Thursday mornings (8–10am) consistently outperform other slots for trade businesses. Avoid Monday mornings and Friday afternoons.
Unsubscribe compliance
Trade2Base automatically appends an unsubscribe link to every broadcast. This is required by law (UK PECR and GDPR). Customers who click unsubscribe are immediately flagged as “marketing opt-out” in their record and will not receive future broadcasts.
The unsubscribe link is added automatically and cannot be removed. Attempting to send bulk commercial email without an opt-out mechanism is illegal and may result in account suspension.
Reading broadcast results
After sending, click the broadcast in your list to view the results dashboard. You'll see:
- Delivered — how many emails reached an inbox
- Open rate — percentage of recipients who opened the email
- Click rate — percentage who clicked a link inside the email
- Unsubscribes — customers who opted out
- Bounces — invalid or unreachable email addresses
