Setting Up Stage Gates for Jobs

Stage gates let you enforce rules about when a job can move from one stage to the next. Use them to ensure deposits are collected before work starts, sign-offs are obtained before invoicing, or certificates are uploaded before a job can be marked complete.

How to set up a stage gate

Go to Settings → Job Stages → click "Add stage gate"

In the main navigation, open Settings and select Job Stages. Click "Add stage gate" to create a new gate.

Name the gate

Give the gate a clear name that describes the requirement, for example "Deposit received before starting" or "Sign-off before invoicing". This name is shown to engineers and office staff when they try to advance a job.

Set the condition

Choose what must be satisfied before the job can advance. A stage gate can require a deposit payment, customer sign-off, checklist completion or certificate upload. Select the condition type and configure any additional settings — for example, specify which checklist must be completed or which certificate type must be uploaded.

Assign the gate to a job type

Choose which job type the gate applies to and set the transition it controls — for example, all "Installation" jobs require a deposit payment before moving to "In Progress". You can assign the same gate to multiple job types.

Engineers and office staff see the gate requirement

When someone tries to advance a job past the gated transition, Trade2Base checks the condition. If it is not met, the system shows a clear message explaining what is required. They cannot proceed until the condition is satisfied.
