Merging Duplicate Customer Records

Duplicate customer records can appear when a customer is added more than once — for example, by two different team members or during a data import. Merging duplicates consolidates all jobs, quotes, invoices and notes into a single clean record.

How to merge duplicate customer records

Go to Customers and find the duplicate records

In the main navigation, open Customers. Use the search bar to find the duplicate records by name, email address or phone number.

Open the primary record → click "Actions" → "Merge duplicate"

Open the customer record you want to keep as the primary record. Click the "Actions" button in the top-right corner and select "Merge duplicate" from the menu.

Search for the duplicate record to merge

A search panel opens. Type the name or email of the duplicate record you want to merge into the primary. Select it from the results.

Review the merge preview

Trade2Base shows a preview of what will happen: all jobs, quotes, invoices and notes from the duplicate record will be moved to the primary record. Check the preview carefully before proceeding.

Click "Confirm merge"

Click "Confirm merge" to complete the merge. The duplicate record is permanently deleted and all its history is consolidated into the primary record.

You cannot undo a merge. If you're unsure, export both customer records to CSV first so you have a backup.
