Customer History — Jobs, Quotes and Invoices
The customer record in Trade2Base is a complete history of your relationship with that customer. Every job, quote, invoice, note, and payment is logged chronologically so you always know exactly where things stand.
Opening a customer record
Click "Customers" in the left-hand sidebar. The customer list shows all your customers with their name, phone number, and most recent activity.
Use the search bar to find a customer by name, phone, email, or address. You can also filter by tag (e.g. Landlord or Service Contract) using the filter panel on the left.
Click any customer to open their detail page. The summary panel at the top shows their contact details and key stats.
The History tab
The History tab on the customer detail page shows every job, quote, and invoice in reverse-chronological order. Each entry shows:
- Record type (Job, Quote, or Invoice) with a coloured badge.
- Reference number and title or description.
- Date created and, for invoices, the due date.
- Current status (e.g. Completed, Approved, Paid, Overdue).
- Total value of the record.
Clicking any entry opens the full record. This makes it easy to jump from a customer overview to a specific job or invoice without navigating away.
Total spend and payment summary
At the top of the customer detail page, a summary panel shows:
- Total spend — the sum of all paid invoices for this customer.
- Outstanding balance — any invoices that are unpaid or overdue.
- Number of jobs — total jobs created for this customer.
- Last job date — when their most recent job was carried out.
These figures are calculated in real time as you mark invoices paid or create new records.
Customer-level notes
As well as notes on individual jobs, you can add notes directly to the customer record. These are useful for information that applies across all jobs with this customer, such as:
- Preferred contact method or time of day.
- Site access instructions that apply to all their properties.
- Account credit or agreed rates.
- Relationship notes (e.g. referred by another customer).
Portal link and customer access
Each customer has a unique portal link. You can copy or share this from the customer detail page. When customers use the portal, they can:
- View all their jobs, quotes, and invoices.
- See status updates and site photos.
- Download invoice and quote PDFs.
- Pay invoices online (if Stripe is connected).
- Submit new job requests.
Filtering history by date
On the History tab, use the date filter to narrow the view to a specific period. This is useful for reviewing all activity in a financial year, or checking whether a customer has had any jobs in the past 12 months. You can also filter by record type to show only Jobs, only Quotes, or only Invoices.
Reviewing a customer's history before a visit gives your engineer useful context. If the last boiler service was over a year ago, it might be worth mentioning a service contract. If there are outstanding quotes, you can follow up on those before raising new work.
If a customer is no longer active, you can archive them from the customer detail page. Archived customers are hidden from the main customer list but their full history is retained. You can restore an archived customer at any time by searching for them and clicking Restore.
