Sharing a portal link with a customer
The customer portal gives your customer a secure, branded view of their job — without them needing to create an account. Share the link in seconds via WhatsApp, email, or SMS.
What your customer sees in the portal
The portal is a real-time, read-only (and action-enabled) window into their job record. Everything they need is in one place — no chasing you for updates.
Current status — Booked, In Progress, Complete, etc.
View the itemised quote and approve or decline it.
View the invoice and pay securely via Stripe.
Upload photos or documents requested by you.
How to generate and share a portal link
Navigate to the job you want to share the portal for. You can also share from the customer record to give them access to all their jobs.
Find the "Portal Link" button in the top action bar of the job record. If sharing from a customer record, look in the customer detail panel.
Trade2Base generates a unique, secure link for this specific job. It includes a token that identifies the customer — no login required on their end.
Click "Send via WhatsApp", "Send via Email", or "Copy link" to share however you prefer. The portal opens immediately in the customer's browser.
Link expiry and security
Portal links expire after 90 days by default. You can change the expiry in Settings → Portal → Link expiry. Expired links show a friendly message asking the customer to contact you.
If a link is shared with the wrong person or you need to invalidate it, open the job and click Portal Link → Regenerate link. The old link immediately stops working and a new one is created.
Each portal link is unique and contains a secret token. Anyone with the link can view the job, so share it only with the customer. Don't post links publicly or include them in group chats.
