Setting a Credit Limit for a Customer

Credit limits let you control how much outstanding debt a commercial customer can accumulate before you receive an alert. Trade2Base tracks invoice balances against the limit automatically and flags new invoices that would push the customer over their agreed credit exposure.

How to set a credit limit

Open a customer record → go to the "Account" tab

Find the customer in your Customers list and open their record. Click the "Account" tab to view account settings and financial information.

Click "Edit" → set a credit limit amount

Click "Edit" to enter edit mode. In the Credit Limit field, enter the maximum outstanding balance you are prepared to carry for this customer — for example, £5,000. Click Save.

Trade2Base tracks the outstanding balance against this limit

From this point on, Trade2Base adds up all unpaid and partially paid invoices for the customer and compares the total against the credit limit. The current balance and limit are shown on the Account tab.

You receive an alert when a new invoice would breach the limit

When you create a new invoice that would push the customer over their credit limit, Trade2Base shows an alert and flags the invoice for review. You can still save and send the invoice, but the flag ensures you make an active decision.

Override the limit on a per-invoice basis with a note

To override the limit for a specific invoice, open the flagged invoice and click Override credit limit. Add a note explaining the exception — for example, that the customer has committed to paying within 7 days.

Note: Credit limits are useful for commercial customers who receive multiple invoices per month. They help prevent overexposure to slow-paying clients.

Frequently asked questions

Does the credit limit apply to domestic customers too?

You can set a credit limit on any customer record, domestic or commercial. However, credit limits are most commonly used for commercial or property management clients who receive ongoing invoices.

What counts toward the outstanding balance?

All invoices with a status of Sent, Overdue, or Partially Paid are counted. Invoices marked as Paid in Full or Draft are excluded.

Can I remove a credit limit?

Yes. Open the customer record, go to the Account tab, click Edit, and clear the Credit Limit field. Save — the limit is removed and no further alerts will be triggered for that customer.

Who can see and edit credit limits?

Credit limits are visible to any user who can view the customer record. Editing a credit limit requires the Manage Customers permission in Settings → Roles.
