Creating a Job from a Job Request

When a customer fills in your booking form — whether on your website embed or through the customer portal — Trade2Base captures it as a job request. This keeps new enquiries separate from confirmed work until you're ready to act on them. Converting a request to a job takes a single click.

How job requests come in

Trade2Base collects job requests from two sources:

  • Your website embed form — a lightweight booking widget you paste onto any website page.
  • The customer portal — existing customers can log in and submit a new job request directly.

All incoming requests appear in the Job Requests inbox, accessible from the sidebar. You'll also receive an in-app notification and an email alert when a new request arrives.

Converting a request to a job

Open the Job Requests inbox

Click "Requests" in the left-hand sidebar. You'll see a list of all pending requests with the customer name, request date, and a brief description of the work.

Select the request

Click on any request to open the detail view. You can read the full description the customer submitted, including any photos they attached.

Click "Convert to Job"

Hit the blue "Convert to Job" button in the top-right of the request detail. Trade2Base instantly creates a new job record and auto-fills the customer details.

Review the auto-filled customer details

If the customer already exists in Trade2Base, their name, phone number, and address will be pre-populated. For new customers, a new customer record is created automatically — you can fill in any missing details after saving.

Set the job type and description

Choose the appropriate job type from the dropdown (e.g. Boiler Service, Repair, Installation) and review or edit the description. The customer's original request text is carried over as a starting point.

Schedule the job

Set a scheduled date and time. If you haven't confirmed availability with the customer yet, you can leave the date blank and mark the status as "Awaiting Schedule".

Assign an engineer and save

Pick the engineer who will carry out the work, then click "Save Job". The job request is marked as converted and disappears from the inbox.

Customer details auto-fill from the request

When a logged-in portal customer submits a request, Trade2Base already knows their full profile. Their name, address, and contact details are pulled in automatically — no re-typing needed. For anonymous embed form submissions, the email or phone number is used to match against existing customer records first.

Declined requests are archived, not deleted

If you decline a job request, it moves to the Archived Requests tab rather than being permanently deleted. You can revisit and convert it at any time if circumstances change.

What the customer sees

Once you convert a request to a job, the customer's portal automatically updates to show the job as Booked. If you've enabled email notifications, Trade2Base sends them a confirmation email with the job reference and scheduled date. They can track progress through the portal from this point onwards.
