Adding notes to a job

Job notes let you record important information against a job — access instructions, materials needed, customer preferences, or anything your engineers need to know on site. Notes can be internal (team only) or shared with the customer via the portal.

How to add a note to a job

Open the job in Trade2Base

Go to Jobs in the main menu and click on the job you want to add a note to.

Click the Notes tab

Inside the job, select the Notes tab. You will see any existing notes listed in chronological order.

Type your note in the text field

Click in the note text field and type your note. There is no character limit.

Toggle 'Visible to customer' if needed

If you want the customer to see this note in their portal, enable the "Visible to customer" toggle. Leave it off for internal notes.

Click Save

Click Save to store the note. Notes are timestamped and show which team member added them, so there is always a clear audit trail.

Internal notes are never visible to the customer unless you toggle “Visible to customer”. Engineers on mobile see all notes flagged for their jobs before they arrive on site.

Frequently asked questions

Can I edit or delete a note?

Yes. Click the three-dot menu next to any note to edit or delete it. Editing a note updates the timestamp and logs the edit so you can see it was changed.

Can engineers add notes from the mobile app?

Yes. Engineers can add notes to any job assigned to them directly from the Trade2Base mobile app. Notes added on mobile sync instantly and appear in the job in the office view.

Can I attach a file to a note?

Files and photos are handled separately via the Photos & Files tab on the job. Notes are text-only. To attach a document or image, use the Photos & Files tab and add a description there.

Do notes appear on the job report PDF?

Customer-visible notes can be included in the job report PDF. Go to Settings > Documents > Job Report to configure which fields appear. Internal notes are never included in any customer-facing document.
