Adding Site Photos and Notes

Good documentation protects your business and keeps customers informed. Trade2Base lets engineers add notes and photos during or after a visit — directly from their phone. These are stored against the job and can be shared with customers through the portal or attached to quotes and invoices.

Adding notes to a job

Open the job

Navigate to Jobs and click on the relevant job. You can search by job reference, customer name, or engineer.

Go to the "Notes" tab

On the job detail page, click the Notes tab. Any existing notes are displayed in chronological order with the author name and timestamp.

Add a new note

Click "Add note" and type your text. Notes support line breaks. You can log pre-visit instructions, on-site observations, or post-job summaries.

Save the note

Click "Save note". The note is immediately visible to anyone with access to this job, including other engineers assigned to it.

Uploading site photos from mobile

Open the job on your phone

Log in to Trade2Base on your mobile browser or the app. Tap the job you want to add photos to.

Tap the "Photos" tab

Tap the Photos tab on the job detail screen. Any previously uploaded photos are shown in a grid.

Tap "Upload photo"

Tap the camera icon or "Upload photo" button. You can take a new photo with your camera or choose one from your photo library.

Add a caption (optional)

Each photo can have a short caption to describe what it shows (e.g. "Before — corroded pipe section" or "After — new installation complete").

Upload

Tap Upload. The photo is stored securely against the job. Multiple photos can be uploaded one at a time or in bulk.

Attach photos to quotes and invoices

When creating a quote or invoice from a job, you can choose to include job photos as attachments. This is particularly useful for insurance work, snagging lists, or any job where a visual record adds value to the document. The customer receives the photos alongside the quote or invoice PDF.

What customers see in the portal

Notes and photos marked as customer-visible appear on the customer portal under the relevant job. This gives customers a transparent view of the work carried out without requiring any emails or phone calls. Internal notes (such as access codes or team instructions) stay hidden from the customer view.

  • Customer-visible notes appear in the portal under the job timeline.
  • Photos are displayed in a gallery view with captions.
  • Customers can download individual photos directly from the portal.
  • Internal notes are only visible to your team — never to the customer.
Check visibility before saving a note

Notes default to Internal only. If you want the customer to see the note in their portal, toggle the visibility to Customer-visible before saving. You can change a note's visibility at any time after saving too.
