Adding a Cover Letter to a Quote

A cover letter transforms a quote from a list of prices into a professional proposal. It gives you space to introduce your business, explain your approach, and set yourself apart before the customer even looks at the numbers.

A well-written cover letter significantly improves quote acceptance rates, especially for higher-value projects where customers compare multiple quotes.

How to add a cover letter to a quote

Open a quote in Draft status → click "Cover letter" tab

Open any quote that is still in Draft status. At the top of the quote editor you will see tabs: Details, Line Items, Cover Letter, and Settings. Click "Cover letter" to open the cover letter editor.

Write your personalised introduction

Use the rich-text editor to write your cover letter. Explain the scope of work in plain language, describe your approach and methodology, and make the case for why you are the right choice. Keep it concise — two or three paragraphs is ideal.

Add your company logo and signature block

If your logo and signature block are not already showing, go to Settings → Branding to upload your logo and set up a default signature. Once saved there, they appear automatically on all future cover letters.

Toggle "Include cover letter" on

At the top of the Cover Letter tab, make sure the "Include cover letter" toggle is switched on. When enabled, the cover letter appears as the first page of the quote PDF, before the line items and pricing.

Send the quote

Send the quote as normal. Whether you deliver it by email, WhatsApp, or customer portal link, the cover letter is included automatically. No extra steps required.

Frequently asked questions

Can I save a cover letter template to reuse?

Yes. After writing a cover letter you are happy with, click "Save as template" at the bottom of the editor. Give it a name and it will appear in your template library. Next time you open the Cover Letter tab on any quote, click "Use template" to insert it instantly.

Can I customise the cover letter per quote even if I use a template?

Yes. Templates are a starting point. After inserting a template you can edit every word. Changes only affect the current quote — your saved template is not modified.

Does the cover letter show in the customer portal?

Yes. When a customer views their quote via the portal link, the cover letter appears as the first section before the pricing breakdown.

Can I include the cover letter on some quotes and not others?

Yes. The Include cover letter toggle is per-quote. Turn it on only for the quotes where you want to include it. Simpler jobs may not need one.
