Setting a quote validity period

A validity period protects your pricing from material cost changes and gives customers a clear deadline to accept. Trade2Base can set a default validity for all quotes or let you set it per-quote — whichever fits your workflow.

How to configure quote validity

Go to Settings > Quotes to set your default validity period

In the main navigation open Settings, then select Quotes. Find the Default validity period field and enter the number of days — for example 30 — that you want all new quotes to be valid for.

The Valid Until date is pre-populated when creating a quote

When you create a new quote, the Valid Until date is automatically calculated from today's date plus your default validity period. No extra steps needed.

Override the date on any individual quote

If a specific quote needs a longer or shorter validity, click the Valid Until field on the quote and change the date. This only affects that quote — your default setting is unchanged.

The customer sees the expiry date on the quote PDF and portal

The Valid Until date appears prominently on the quote PDF and in the customer portal. Customers see a clear message such as "This quote is valid until 15 June 2026" when reviewing their quote.

Expired quotes show as "Expired" — you can reissue with updated pricing

Once a quote passes its Valid Until date, it is marked as "Expired" in your quotes list. Open the quote and click "Reissue" to create a fresh copy with today's date and updated pricing if needed.

Recommended validity window

We recommend 14–30 days for most jobs. Longer validity periods expose you to material price inflation — if costs rise and a customer accepts a 90-day-old quote, your margin is at risk.

Frequently asked questions

Can I extend an expired quote?

Yes. Open the expired quote and click "Reissue". This creates a new quote with a fresh Valid Until date. The original expired quote is kept in your records for reference.

Does the customer get a reminder before the quote expires?

Yes, if you have quote follow-up automations enabled. Go to Settings > Automations and enable the quote expiry reminder. You can set how many days before expiry the reminder is sent.

Can I set different defaults for different job types?

Currently the default validity period applies to all quotes. You can override it per-quote when needed. Per-job-type defaults are on the product roadmap.

What happens if a customer tries to accept an expired quote?

Expired quotes cannot be accepted through the customer portal. The customer sees a message explaining the quote has expired and is prompted to contact you. You can then reissue with updated pricing.
