Recording engineer absence and holiday
Recording absence in Trade2Base removes the engineer from your scheduling calendar for the relevant period, preventing accidental double-booking and keeping your job board accurate.
How to record engineer absence
Open Team in the main navigation and click on the engineer's name to open their profile.
Inside the engineer's profile, click the Absence tab. You will see a list of any previously recorded absences.
Click the Add absence button to open the absence form.
Choose the absence type from the dropdown: holiday, sick, training, or other. This helps you track different types of time off separately in your absence report.
Enter the first and last day of the absence. The engineer will be greyed out in the calendar for that entire period, signalling they are unavailable.
Click Save. Any jobs already scheduled during the absence period will be flagged for reassignment with a warning banner so you can act quickly.
Engineers cannot book or be assigned jobs during a recorded absence period. Jobs already scheduled before the absence was recorded will need to be manually reassigned.
Frequently asked questions
Yes, if you grant them the Absence permission in their role. Go to Settings > Roles > [Role name] > Permissions and enable "Record own absence". Engineers can then submit absence requests from the mobile app, which you can approve or reject.
For engineers who regularly work fewer days, use the Availability tab on their profile to set their standard working days rather than recording individual absences. Absence is best suited to one-off periods of time off.
If you have connected Google Calendar via Settings > Integrations, engineer absence blocks are pushed to the linked calendar as all-day events, so the absence is visible alongside any external calendar entries.
Yes. Go to Reports > Team Absence to see a breakdown of all absence across your team for any date range, filtered by engineer or absence type.
