Logging visits on a job

For jobs requiring multiple visits — surveys, multi-day installations, return visits — Trade2Base lets you log each visit separately with its own engineer, time, notes and photos. This gives you a complete record of every site attendance.

How to log a visit

Open the job and click the Visits tab

Navigate to the job from the Jobs list or the schedule. Click the Visits tab near the top of the job record.

Click Add visit

Click the Add visit button to open the visit form.

Select the engineer and set the visit date and time

Choose which engineer attended the site from the dropdown. Set the visit date, start time and end time. For a visit still in progress, you can leave the end time blank and update it later.

Add visit notes

Enter notes covering access details, work carried out and materials used. These notes form the official record of what happened on site during this visit.

Upload photos from this visit

Attach any photos taken during the visit. Photos are tagged to the visit date automatically, so your gallery stays organised chronologically across all visits.

Visit logs are visible to the customer in the portal if you enable sharing. They provide a professional record of attendance that can help resolve any disputes about work carried out.

Frequently asked questions

Can engineers log their own visits from the mobile app?

Yes. Engineers with the Log visits permission can add and update visit records from the Trade2Base mobile app. They can start a visit when they arrive on site and complete it when they leave, with notes and photos added in the field.

Is travel time logged separately?

Yes, if you enable travel time tracking. On the visit form, there is an optional Travel time field where engineers can log time spent travelling to and from the site. Travel time can be included or excluded from job costing reports.

Can I print a visit log?

Yes. Go to the Visits tab and click Export visit log. You can download a PDF or CSV of all visits on the job, including dates, engineers, hours and notes. The PDF format is suitable for sending to clients or including in handover packs.

Does the visit log feed into job costing?

Yes. Visit hours are pulled into the job costing section automatically. You can compare planned hours against actual hours across all visits to track labour costs and identify jobs that are running over budget.
