Managing Compliance Certificates on Jobs

Trade2Base lets you attach, manage, and share compliance certificates directly on job records — from Gas Safe certificates and EICRs to MCS and FENSA docs. Set expiry reminders, make certs available in the customer portal, and export them in bulk for audits.

Need a cert type that's not in the list? Choose “Custom certificate” and enter your own name. The certificate is stored and managed exactly like a built-in type.

Attaching a certificate to a job

Open the job

Go to the job record and click the Compliance tab (alongside Details, Notes, and Photos).

Click "Add certificate"

Click the "+ Add certificate" button. A panel slides in from the right.

Upload the file

Drag and drop a PDF or image file onto the upload area, or click "Browse" to pick a file. Supported formats: PDF, JPG, PNG. Maximum file size: 50 MB.

Fill in certificate details

Enter the certificate name (select from the dropdown or type a custom name), the issue date, and optionally an expiry date.

Save

Click "Save certificate". The cert appears immediately in the Compliance tab with its name, issue date, and a download button.

Making certificates available in the customer portal

By default, certificates are internal only. To share a certificate with the customer via their portal, toggle the Visible in portal switch on the certificate record. The customer will then see a “Documents” section in their portal where they can view and download the certificate.

Tip

Sharing Gas Safe or EICR certificates via the portal is a great way to reassure customers and reduce the number of “can you email me the certificate?” calls.

Setting a certificate expiry reminder

Open the certificate

On the Compliance tab, click the certificate you want to set a reminder for.

Enter an expiry date

If you didn't add an expiry date when uploading, click "Edit" and fill in the Expiry date field.

Choose a reminder window

Select when you want to be reminded: 30 days, 60 days, or 90 days before expiry. Trade2Base will send an in-app notification and an email to the job owner.

Save

Click "Save". A reminder badge appears on the certificate card showing when the next reminder fires.

Viewing all certs and searching by cert type

View certs on a job

All certificates attached to a job are listed in the Compliance tab. You can filter by cert type, sort by issue date, or search by certificate name.

Search jobs by cert type

From the Jobs list, use the Filter button and select "Has certificate type". Choose a cert type (e.g. Gas Safe) to see all jobs that have that type of certificate attached.

Bulk certificate export for audits

Need to produce a batch of certificates for an audit or handover pack? Use the bulk export tool:

Go to Reports → Certificates

Open the Reports section in the main navigation and select "Certificates".

Filter your selection

Filter by cert type, date range, customer, or engineer. Check the boxes next to the certificates you want to include.

Export as ZIP

Click "Export selected" and choose "Download as ZIP". All selected certificate files are zipped and downloaded to your computer. The ZIP file is named by date and cert type for easy filing.

Frequently asked questions

Can customers download their own certificates?

Yes — if you make a certificate visible in the customer portal using the "Visible in portal" toggle, the customer can log in and download it themselves at any time. This works for any certificate type.

Can engineers upload certificates from the mobile app?

Yes. Engineers using the Trade2Base mobile app can open a job, go to the Compliance tab, and upload a photo or PDF of a certificate directly from their phone.

Is there a limit on how many certificates I can store?

No hard limit on the number of certificates. Storage is included in your Trade2Base subscription. Individual file sizes are capped at 50 MB per certificate.
