Managing customers with multiple sites or properties

Landlords, property managers and commercial clients often have multiple properties or sites. Trade2Base lets you store multiple addresses under a single customer record, so job history and invoicing stay organised by property.

How to set up multiple sites

Open the customer record and click Add site

Navigate to the customer from the Customers list. On their record, click Add site in the Sites section.

Enter the site name and address

Give the site a clear name that identifies the property (e.g. "23 Park Road rental" or "Office — Manchester") and enter the full address.

Select the relevant site when creating a job

When creating a new job for this customer, choose the relevant site from the Site dropdown. The job is then linked to that specific property.

Each site maintains its own job history

Every site has its own job history, compliance certificates and notes. You can view all jobs at a specific property without wading through unrelated records.

Invoice at the customer or site level

You can raise invoices against the customer as a whole or against a specific site. This lets you bill a landlord for all their properties in one invoice, or bill per-property if your contract requires it.

Customers can filter by property in the portal

The customer can see all their sites in the portal and filter their jobs and documents by property, making it easy for a property manager to find what they need for each address.

There is no limit on the number of sites per customer. Property managers with 50+ properties use Trade2Base to manage their entire portfolio under a single account.

Frequently asked questions

Can I transfer a job from one site to another?

Yes. Open the job, click Edit job details and change the Site field to the correct property. The job history moves with it, including any photos, notes and compliance certificates.

Can I set different contact details per site?

Yes. Each site can have its own contact name, phone number and email address. This is useful when a property has an on-site manager or tenant who is the primary point of contact for that property.

Can I generate a compliance report for a specific site?

Yes. Go to the site record and click Reports. You can generate a compliance history report showing all certificates and inspections for that property, which is useful for landlord compliance packs.

Can I archive a site the customer no longer owns?

Yes. Open the site record and click Archive site. Archived sites and their job history are preserved for record-keeping but no longer appear in active dropdowns when creating new jobs.
